Employo Pty Ltd is committed to protecting and respecting your privacy. As an Australian company, we follow the Australian Privacy Act 1988 and have ensured we are also GDPR compliant. The information below is to explain how we may use your personal information that we collect before, during and after your working relationship with us.
Data Holding
Our software securely holds the following data about you:
- Employment Information that you provide by filling in application forms, creating a profile or applying for jobs on our site, wwww.employo.com.au
- Contact information should you openly follow a school so that you can be contacted by schools via email or phone when matching jobs emerge in the schools you have predetermined to be suitable and follow.
- Contact information should you apply for a job
Data Creation and Control
You create data by applying for jobs or creating a profile to follow schools. By creating a profile your data is not visible or accessible to anyone but you until which time you openly follow a school. To apply for a job, you need to follow the application process for each job. At the time of applying for a job through Employo, you will be given the option to have your applications stored in the school’s bespoke register for current and future employment purposes.
Uses made and purpose of the information held
The information that we hold will be used for the following purposes:
- Your data will be held within our software for employment and will only be accessible to schools you follow openly or schools you have applied to;
- Automated compliance and safeguarding features enable our software to provide you with badges that validate your licensing, police clearance and other compliance to help you stand from other candidates following schools openly or applying for jobs;
- You can update your Badges at any time to keep them up-to-date however you will be asked to update the automated checking of compliance at 6 or 12 month junctures;
- All candidates who sign up to follow schools openly or discretely have their name and email accessible to your dedicated account manager who will send your information to assist you in the use of the software to secure employment;
- We also collect details of your visits to our website including, but not limited to, traffic data, location data, weblogs, operating system, browser usage and other communication data.
- We maintain copies of correspondence that you send us through our website, emails, SMS and other means of communication.
Data Access
- At the time of applying for a job through the Employo software you will have the option to save your application, automatically creating a secure account you can access with password protection.
- In your account you can manage applications, follow schools and create a profile to save time searching jobs and schools and applying for further jobs.
- At the time of applying to a school, you may be asked if the school can hold your data in the candidate register manager feature of the Employo software for schools. Your information will be held securely in the register, accessible only to the school you applied for and solely for employment.
- Not all schools will elect to use Employo’s application and Applicant Tracking feature – in such instances, you will not be able to save your application to create a secure account with Employo.
- If you follow a school openly or confirm your application can be held by a school your data and information will be accessible by the school for employment and you will receive notifications directly from the school.
Data Removal
There are different ways in which you can delete your data from the Employo software platform. By signing up and logging in you can:
- Delete your account and all information contained. This will automatically remove you from following schools you previously followed openly or discretely and withdraw your application from any jobs and school registers;
- Unfollow schools going to the Schools Followed tab in your account, select the school and the unfollow option. This will immediately remove you from the school’s register;
- Withdraw applications by going to the Applications tab in your account, select the job and the withdraw option. You will be asked if you wish to also be removed from the schools secure register.
Disclosure of your information to third parties
The Employo software has sophisticated encryption, security and access technology, ensuring that your information is only seen by the schools you openly follow or jobs you have applied for. At no time is your data shared with parties outside of Employo Pty Limited and the schools/authorities that you follow or openly apply for.
Retention of information
Personal data will only be retained for as long as is necessary for the purpose for which it was collected. Purposes include:
- Applying for current and future employment in the schools or Diocese or governments you have selected;
- Being notified for jobs by the schools you selected;
- Enabling schools to retain recruitment information for safeguarding;
Your rights
We are committed to ensuring you have all the rights entitled by law in relation to your personal information. You are entitled to the following:
- To keep your data and personal information secure
- Rectification of your personal data which you believe is inaccurate or incomplete
- Restriction of processing your personal data
- To have your personal data erased from your records
- To have your data ported to another party
You will not have to pay a fee to access your personal information, however we may charge a reasonable fee if your request is unfounded or excessive. We will request specific information from you to help us verify and confirm your identity and ensure that you access the right information as an appropriate security measure to ensure that your personal information is not disclosed to any person who has no right to it.

Security of your information
Our software is secured stored in servers based in Sydney, NSW. All data held in our cloud-based software is encrypted through Amazon Web Services (AWS) and its advanced data protection capability with globally recognised certifications including, but not limited to, ISO27017, ISO27701 and ISO27018 for security and privacy.
AWS encrypts all data in transit and rest. AWS complies with our Privacy Policy and all Employo Terms of Use by providing Employo with full control which is in turn provided to Customers and Candidates throughout the Software which allows for the adjustment and deletion of data at any time. AWS complies with our Privacy Policy and all Employo Terms of Use by processing candidate data only under documented instructions from Employo and does not access, use, or share it without agreement, except as required by law.
Cloudfire DNS Security and Amazon Cloudwatch protect our AWS cloud while API connections pass through a Data Workbench software that provides additional data protection and software performance benefits.

IP addresses and cookies
When you access our website we may collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to report aggregate information to our advertisers. This is statistical data about our users’ browsing actions and patterns and does not identify any individual and we will not collect personal information in this way.
We may obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer. Cookies contain information that is transferred to your computer's hard drive. They help us to improve our site and to deliver a better and more personalised service. They enable us:
- To estimate the volumes of users accessing our site and their usage pattern.
- To store information about your preferences, and so allow us to customise our site according to your individual interests.

Making a Complaint

We take all privacy concerns seriously and will endeavour to acknowledge your request within two business days and respond to your complaint, in writing, within 30 days of receipt. If the personal information you seek access to has been archived and is held offsite in secure storage, you should also anticipate that it may take longer for us to process your application for access so that we can retrieve the information from storage and review it in order to determine which information may be provided. Please note employo might impose a moderate administration charge for the cost of accessing any personal information held offsite in secure storage facility.
