Privacy Policy - Employers
Employo Pty Limited is committed to protecting and respecting the privacy of the schools and candidates using our software. As an Australian company, we follow the Australian Privacy Act 1988 and have ensured we are also GDPR compliant. The information below is to explain how we may use the personal and public information that we collect before, during your working relationship with us.
This policy (together with our terms of use and any other documents referred to on it) sets out the basis on which any data is created, controlled, held, accessed, kept secure and removed. Please read the following carefully to understand our views and practices regarding your data and how we will treat it. We keep certain basic information when you visit our website and recognise the importance of keeping that information secure and letting you know what we will do with it.
As this version has been created for employers, please familiarise yourself with our Privacy Policy for candidates.
Data Holding
Our software securely holds information about your school such as your school name, address and other information that is already made public. In addition,
  • Adding unlimited users will require the names, email addresses, role titles of any user from within your school;
  • All user information is only visible to users and not all users will be able to access all aspects of your Employo account. (See Data Access).
  • When posting jobs the salary of the jobs will be held securely within your ATS and will be visible to candidates applying for the jobs. It will also populate your analytics dashboard visible to any school users given access.
  • Your ATS and Staffroom CRM will hold candidate data and by law, you are entitled to hold this data for the purposes intended.
  • The purposes include maintaining an ongoing candidate management system for safeguarding and contacting candidates for future roles.
  • Candidate purposes are clearly defined in our candidate Employo Privacy Policy and include following you for future employment and applying to your jobs.
Data Creation and Control
You create data by signing up to your free account. This information can be adjusted at any time should information change. Any data related to school profiles and job advertisements are made public once published. There are approval mechanisms to allow schools to create drafts and gain the necessary approvals. You can also change user information at any time.
Uses made and purpose of the information held
The information that we hold will be used for the following purposes:
  • The following data will be held and featured in our job and school search pages to help you attract applicants and followers:
    • Map location
    • Physical address
    • Ethos
    • Gender
    • Staff Size
    • Enrolments
    • Curriculum
    • Geographic region
    • Subject area
    • Role type
    • Start Data
    • End Data
    • Tenure or contract length
    • Salary scale
    • Any other information you share in your advertisement
  • By using the Employo software you will be accepting of our terms and conditions which clearly outline how any data is to be used by schools for the expressed purpose of current and future employment;
  • Automated compliance and safeguarding data on candidates will be visible along with personal and employment information for candidates who have applied for jobs and/or have openly followed your school;
  • All candidates who sign up to follow schools openly or discretely have their name and email accessible to your dedicated account manager who will send your information to assist you in the use of the software to secure employment;
  • We also collect details of your visits to our website including, but not limited to, traffic data, location data, weblogs, operating system, browser usage and other communication data.
  • We maintain copies of correspondence that you send us through our website, emails, SMS and other means of communication.
Data Access
  • When you first sign up to the Employo software you will create a secure password which will be required along with your name, school name (selected from a pre-populated list) and email each time you log in;
  • First access uses domain matching technology to validate that any school signing up for the first time is authenticated as being done by a person at the school;
  • Any additional users can be added by the Main User and will require a school email. Additional users can be given access privileges which set what aspects of your account they can access. Main Users and Super Users can access all features and data while other users will be restricted to certain features. (Eg. Panel Users can only access the ATS of the specific job they are assigned to).
  • Candidates cannot access their applications once they have applied
Data Removal
You can delete your account and all information about your school and users at any time by emailing hello@employo.com.au.
Candidates who have signed up they can withdraw their application and if they elect to be removed from your Staffroom CRM you will no longer be able to access the candidate in your Staffroom CRM and for any open jobs. Candidates who openly follow your school and are in your Staffroom CRM can unfollow you which will automatically remove them from your Staffroom CRM.
Disclosure of your information to third parties
At no time is your data shared with parties outside of Employo Pty Limited.
Retention of information
Personal data will only be retained for as long as is necessary for the purpose for which it was collected.
Your rights
We are committed to ensuring you have all the rights entitled by law concerning your personal information. You are entitled to the following:
  • To keep your data and personal information secure
  • Rectification of your personal data which you believe is inaccurate or incomplete
  • Restriction of processing your personal data
  • To have your personal data erased from your records
  • To have your data ported to another party
You will not have to pay a fee to access your personal information, however we may charge a reasonable fee if your request is unfounded or excessive. We will request specific information from you to help us verify and confirm your identity and ensure that you access the right information as an appropriate security measure to ensure that your personal information is not disclosed to any person who has no right to it.
All requests to obtain, rectify, delete, restrict or transfer must be made in writing to our Data Protection Officer.
Security of your information
Our software is secured stored in servers based in Sydney, NSW. All data held in our cloud-based software is encrypted through Amazon Web Services (AWS) and its advanced data protection capability with globally recognised certifications including, but not limited to, ISO27017, ISO27701 and ISO27018 for security and privacy.
AWS encrypts all data in transit and rest. AWS complies with our Privacy Policy and all Employo Terms of Use by providing Employo with full control which is in turn provided to Customers and Candidates throughout the Software which allows for the adjustment and deletion of data at any time. AWS complies with our Privacy Policy and all Employo Terms of Use by processing candidate data only under documented instructions from Employo and does not access, use, or share it without agreement, except as required by law.
Cloudfire DNS Security and Amazon Cloudwatch protect our AWS cloud while API connections pass through a Data Workbench software that provides additional data protection and software performance benefits.
IP addresses and cookies
When you access our website we may collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to report aggregate information to our advertisers. This is statistical data about our users’ browsing actions and patterns and does not identify any individual and we will not collect personal information in this way. We may obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer. Cookies contain information that is transferred to your computer's hard drive. They help us to improve our site and to deliver a better and more personalised service. They enable us:
  • To estimate the volumes of users accessing our site and their usage pattern.
  • To store information about your preferences, and so allow us to customise our site according to your individual interests.
  • To speed up your searches.
  • To speed up your searches.
  • To recognise you when you return to our site.
You may refuse to accept cookies by activating the setting on your browser which allows you to refuse the setting of cookies. However, if you select this setting, you may be unable to access certain parts of our site. Unless you have adjusted your browser setting so that it will refuse cookies, our system will issue cookies when you log on to our site.
Changes to our privacy policy
Any changes we may make to our privacy policy in the future will be posted on this page and, where appropriate, notified to you by e-mail. However, we advise that you check this page regularly to keep up to date with any necessary changes.

We take all privacy concerns seriously and will endeavour to acknowledge your request within two business days and respond to your complaint, in writing, within 30 days of receipt. If the personal information you seek access to has been archived and is held offsite in secure storage, you should also anticipate that it may take longer for us to process your application for access so that we can retrieve the information from storage and review it in order to determine which information may be provided. Please note employo might impose a moderate administration charge for the cost of accessing any personal information held offsite in secure storage facility.
